How the calculation works

  1. Lodging, per night: the rate of the location for the month of that night, in the fiscal year of that date. Nights before October 1 use the previous fiscal year. If you enter your hotel cost, the allowance is the actual cost, capped at the rate (FTR §301-11.19).
  2. M&IE, per day: 100% on full days, 75% on the departure day and the return day (FTR §301-11.20). A same-day trip of more than 12 hours gets 75%; 12 hours or less, nothing.
  3. Meals provided: tick them day by day. The GSA breakdown amount is deducted, in full even on 75% days, but never below the incidental expenses amount (FTR §301-11.21).
  4. Several cities: add a stop with the date of its first night. Each night, and the M&IE of that day, use the rate of the place where you sleep; the return day uses your last stop. This convention is explained in the methodology.

Example at the standard rate: three days (two nights) in March 2027, lunch provided on day 2 → lodging $226.00 + M&IE $51.00 + $49.00 + $51.00 = $377.00.

Frequently asked questions

What is the GSA per diem rate for FY2027?

For most of the continental U.S. (the "standard CONUS rate"), FY2027 per diem is $113 per night for lodging and $68 per day for meals and incidental expenses (M&IE), from October 1, 2026 to September 30, 2027. In FY2026 it was $110 and $68. About 295 non-standard areas have higher rates, some of them changing by month.

How is per diem calculated on the first and last day of travel?

You receive 75% of the M&IE rate on the day you leave and the day you return, when the trip lasts 24 hours or more (FTR §301-11.20). At $68 that is $51.00. Lodging is paid per night, so there is no lodging on the return day. Worked examples.

Do I deduct meals provided at a conference?

Yes, when the meal is provided by the Government or included in a registration fee: deduct the GSA breakdown amount for that meal (FTR §301-11.21). At the $68 rate: breakfast $16, lunch $19, dinner $28. Meals on a plane or a free hotel breakfast are not deducted. The day never goes below the $5 incidental amount.

When do FY2027 per diem rates take effect?

On October 1, 2026, the first day of federal fiscal year 2027. A trip that crosses October 1 uses the old rates for the dates before it and the new rates from October 1; the calculator does this automatically.

Which rate applies if my hotel is in a different city from my work?

GSA: "Traveler reimbursement is based on the location of the work activities and not the accommodations, unless lodging is not available at the work activity, then the agency may authorize the rate where lodging is obtained." Pick the location of your work in the calculator.

Are lodging taxes included in the per diem rate?

No. In the continental U.S., lodging taxes on reimbursable lodging costs are reimbursed separately as a miscellaneous expense (FTR §301-11.16). The calculator shows the lodging rate before taxes.

Does this work for Alaska, Hawaii or foreign travel?

No. GSA sets rates for the 48 contiguous states and DC only. Alaska, Hawaii and U.S. territories are set by the Department of Defense, and foreign rates by the Department of State.
